Passports

The passport in WACSonline centralizes all data from an ‘asset’ – this is a vehicle, contact or item. This way you can follow general and technical data, maintenance schedules, photos, documents, and more. Additionally, you will automatically build information by using WACSonline in your central passports such as contract agreements, orders, purchase orders, and perform tasks.Besides current contacts, customers and suppliers, you can also monitor prospects and all other relationships, and there is positioning via google maps. For the assets, there are maintenance schedules and damage reports provided and there is also a positioning via google maps.

Purchase and sales data are linked to the articles. Besides contacts, assets and items, there is a specific module personnel management where personnel information is kept, including work schedules and unavailability.

Portals

WACSonline is a webbased application, based on the unique passport concept. Inherent to this concept is that every link in your network – be it a customer, supplier, partner, or a third party – can be granted access to relevant information. For example, a customer of a garage can follow his repair status online, a fleet manager can view the entire history of a truck, and so on. As manager of WACSonline you can decide yourself which party can access what information. Technically, this is done through the security layer, a module in which the access parameters are recorded. The automated information sharing within your network is of great value. Hence, the cost of WACSonline cannot be user-based, because the more users, the better.

Planning

The best visualization to plan orders internally or externally is via the digital planning board. This board is the digital counterpart of the agenda or the mechanical board:

  • you can see the availability of technicians and replacement cars
  • orders / requests are visualized with tickets
  • replacement vehicles and outsourcing to third parties is monitored

This all-in-one board is over several days with capacity calculation… Additional to the board there are several extra options such as manage replacement vehicles, welcome screen, online scheduling and staffing.

Workshop

The workorder is the central monitor at each status costs, margin, productivity and information customer bis followed.  Order for mechanic is entered manually or automated , it can be, detailed in case of a known service or preceded by a diagnosis involving a damage report. Features such as purchase out of stock articles and pick list are included. At run time, time nd articles can be scanned. Upon finishing the  concerned relations are informed and a proforma invoice can be made. Photos and documents can be linked. Additional modules for port planning and parking control are possible.

In a simple way, you can follow via scanning the actual working time by your employees.

Firstly, the time spent can be a check on efficiency to your billing.

On the other hand, the hours worked are also a cost and productivity meter, especially if you combine it with the module personnel management.

Personnel

Staff follow-up taking into account their personal information, availability, team schedules, leave, and so on. They are often an additional headache in any business, especially if this is also the basis for salary calculation. For this WACSonline also has an integrated module, from which in addition to the capacity calculation for planning, co-based on their specialization (eg. License MOT), the option to input payroll calculation is provided.

Stock

The layout of the warehouse can be done upto stock location level. The inventory count can be fully or in pieces according to certain parameters.

Any impact on the stock by reservation for work, out of stock for work, pushing, bring in delivery caused an automatic stock movement. Stock Corrections are possible.

Purchase

This module controls the efficient procurement of goods and services. Going from ordering advice, on controlled delivery with quotations, matching execution / delivery appointment and incoming invoice verification. Coupling with the modules budget, stock, accounting, fleet management and workplace management are possible. Through a supplier portal you can request quotes and give online access to your  suppliers. All of this is supported by a process of digital communications and data exchange. Direct sales… More customerservice!

Counter sales

Selling items at the counter is possible tying prove link to the warehouse and possibly direct billing. Here, too, scanning is possible.

Contracts

Contractual agreements for each vehicle can be registered and billed automatically and included in budget calculations. Signed contracts can be tracked by both parties. The agreements are managed in the system taking into account indexation, sliding scales, appointments, variations, promotions etc …

Billing

From any module from which customers billing arises internally or externally, it is forwarded to the billing module. Other modules include invoice generation contracts, counter sales and workshop. Invoices are automatically created and include VAT, and they can be sent by post and / or digital to the customer. From here, there is a link with accounting and budget module.

Paperless service?… Mobile app is coming!

Mobile service

The mobile application for the technician to be able to receive work orders and enter registrations is available in test phase. This is especially useful for technicians on site (outside the workshop) where the internet is not always available, to switch from paper to digital. This information is real-time synchronized when Internet access is available. This is the future for the mechanic in the workshop to replace the paper work card.

Fleetcare

Per asset a service schedule can be linked. Periodically, all service schedules are scanned and the tasks created, this results in an automatic-todo list in which tasks can be added manually. Besides carrying out tasks (warning lists) via this view service histories can be tracked.

As an extra service, there is also the commercial ability to provide online access to the customers via a customer portal.

From here you can plan orders, work orders for internal labor, purchase orders for external work be created.

Budget

The budget module gives direct insight into the costs versus budget by asset and / or group of assets over a certain period and by type of costs (eg maintenance, repair, tires, … set). This is also the base for periodic calculation of your expenses versus your own budget. As a service, there is also the commercial ability to cost customers to disclose their real versus agreed via a customer portal.

This module takes its input from contracts, invoicing, purchasing, and accounting.

Tires

Visual monitoring via an all-in-one webpage linking vehicle status, work history, stock, purchasing. This takes into account tire sets, position tracking by vendor and features such as tire type, mm’s, and winter / summer

Scanners

Scanning instead of writing down actions is a must for the digital business. This to minimize the chance of error, and have all your information in real-time. Associated barcode printing is also part of WACSonline.

Scanners can currently be used for the modules time, stock, service and articles. Implementation of the scanning software on any type of scanners that meet certain basic conditions.

How to handle documents… it is possible in all ways!

Document Server

Each document, being a document intended for a contact (customer, employee, supplier) is controlled via the WACSonline document server. This is a unique system that gives a preview of the document (invoice, damage report, order …), gives the possibility to modify certain parameters and then if necessary to print the document, store digitally. The document can also be mailed to the relevant stakeholders, subject, text, signature and list of attachments from the file where the document is sent out. This document in pdf format is attached automtatically to the file in question (work order, order …).

SMS Service

In any case all communication is provided via mail, but sometimes the SMS option is desirable, for example to notify customer that vehicle is ready for collection. The activation of these integrated service possible, then the SMS can be sent via the service, managed and calculated.
